Payment and Cancellation Policy
At Kensington Psychology Clinic, we are committed to providing high-quality psychological care in a professional and respectful environment. This policy outlines our procedures for appointment cancellations, missed sessions, and payments, including the use of stored credit card details.
1. Appointment Cancellations
We require a minimum of two (2) full business days’ notice to cancel or reschedule an appointment without incurring a fee. This enables us to offer the appointment time to another client who may be waiting for support.
Business days exclude weekends and public holidays.
For example, to cancel a Monday appointment without incurring a fee, notice must be provided by the Thursday prior.
Late Cancellation Fees
If adequate notice is not provided, the following fees apply:
Less than 2 full business days’ notice but more than 1 full business day: 50% of the full session fee
Less than 1 full business day’s notice or same-day cancellation: 100% of the full session fee
2. Missed Appointments (No Show)
Failure to attend a scheduled appointment without prior notice will incur the full session fee.
Please note that cancellation and non-attendance fees are not covered by Medicare or third-party funding providers.
3. Emergencies and Exceptional Circumstances
We understand that unforeseen events and emergencies can arise. If you need to cancel at short notice due to illness or unforeseen circumstances, please contact your psychologist as soon as possible. Discretion may be applied on a case-by-case basis.
4. Credit Card Storage and Payment
As part of our booking process, credit card details are securely stored via Halaxy, our practice management system. This enables prompt and confidential processing of cancellation fees or outstanding balances.
You will be issued an invoice following your session or if a cancellation fee applies.
Your card will only be charged if the invoice remains unpaid after seven (7) calendar days.
Credit card details are stored and processed in accordance with PCI-DSS compliance standards using Halaxy’s bank-grade encrypted system.
Any credit card processing fees charged by Halaxy will be the responsibility of the client.
You may request alternative payment arrangements or revoke your authorisation at any time in writing, provided all outstanding balances are settled.
